An approved sample is the single most important reference in a fishing rod OEM program, even though it is a physical object rather than a sheet of paper. It becomes the standard that bulk production is measured against, so every detail you accept at this stage is a detail you accept for the whole order. This checklist helps brands review samples systematically and supports the process described on our Sample Development & Approval page.

Before the sample is made

Sample quality depends on the brief. Provide the manufacturer with a complete specification sheet, a component list (blank, guide model and sizes, tip-top, reel seat, grips, butt cap, winding checks), artwork files for logos and spec text, the target market and, where possible, a reference rod. Agree in advance which parameters are fixed and which the factory may propose alternatives for.

The sample approval checklist

1. Blank and action

  • Overall length and section lengths match the specification.
  • Transport length is correct for the intended packaging.
  • Power and action feel consistent with the brief and any reference rod, assessed by the same person in each round.
  • Ferrules fit with the agreed overlap and no rocking or looseness.
  • Sections are straight, with the spine or alignment mark positioned as agreed.
  • Blank finish (painted, clear or matte) matches the sample plan and is free of runs, dust and pinholes.

2. Guide train

  • Guide model, frame material and ring material are as specified.
  • Guide count and ring sizes follow the drawing, from stripper or choke guide through to tip-top.
  • Spacing matches the drawing within the tolerance you have agreed.
  • All guides are aligned along the blank and with the reel seat.
  • Wrap colors, trim bands and thread finish are correct and consistent.
  • Epoxy coating is smooth and even, without bubbles, gaps or excessive build.
  • Tip-top tube size fits the blank tip without visible gaps or forced fitting.

3. Handle, reel seat and balance

  • Grip materials, lengths and diameters match the specification.
  • Reel seat type, size and orientation are correct and the hood holds the intended reel securely.
  • Trim rings, winding checks and butt cap are the agreed parts and are seated cleanly.
  • Transitions between grip, seat and blank are smooth with no gaps or excess adhesive.
  • Balance point with the intended reel fitted is acceptable for the application.

4. Cosmetics and branding

  • Logo position, size and color match the artwork.
  • Specification text (length, power, action, line and lure rating) is accurate and legible.
  • Rod color, metallic details and decals match approved references under daylight.
  • Packaging samples, where included, carry the correct model information.

5. Documentation

DocumentPurpose
Signed approval sheetRecords who approved what, and when, for each model.
Photo recordCaptures the approved appearance for later comparison.
Revision logLists every change requested between sample rounds and confirms it was applied.
Bill of materialsFreezes the component list that bulk production must follow.
Golden sampleA retained reference rod, ideally one held by each party.

Common mistakes to avoid

  • Approving by phone or chat message without a signed sheet.
  • Changing the specification after approval without updating the drawing and bill of materials.
  • Reviewing one sample and assuming the other lengths in the series will match.
  • Judging action without the reel and line the rod is designed for.
  • Ignoring packaging until bulk production is already under way.

How this applies to your OEM project

A disciplined sample review protects both parties: you receive what you approved, and the factory has a clear target. Our Sample Development & Approval page explains what information a sample needs, which parameters must be locked and how golden samples, drawings and bills of materials are managed. The approved sample then becomes the baseline for every check described on the Quality & Inspection page. To start a sample project, request a quote.
